Description
This call for tenders sets out the procedure, the requirements and terms of participation, the documentation to be submitted and, more generally, all the general conditions governing the call for tenders (divided into 2 lots) for the acquisition of the "in situ" digitization service for consular files held in the archives of the General Consulates of Italy located in Nice (lot no. 1) and Marseille (lot no. 2). The procedure adopted for all lots of the call for tenders is the ordinary open procedure launched under the terms of article 10 of the Decree of the Ministry of Foreign Affairs and International Cooperation n° 192/2017.
The purpose of this contract is to provide a digitization service for the consular archives of the Consulate General of Italy in Nice and includes all the services required for the proper performance of the contract, as specified and listed in the technical specifications (Cahier des charges, Appendix no. 4, and Cahiers de charges métadonnées, Appendix no. 5), to which reference is here made, including:(i) the activity of digital acquisition of the paper files present in the consular archives by means of the export of the documents, by means of a DVD (or, if the size of the digitized archives does not allow them to be saved on DVD, another removable storage medium), to be carried out exclusively in the Consulate Offices;(ii) the attribution of the metadata of the digitized documents, as indicated in Appendix 5 - specifications (metadata);(iii) the supply and installation of the hardware components required for the future management of the digital archives produced by the digitization of paper-based consular archives;(iv) the training of dedicated staff in the use of the hardware and software that will enable the digital archives to be updated once they are fully operational;(v) the supply of the computer equipment and hardware required for the in situ digitization of consular archives;(vi) the secure erasure activity referred to in article 21 of the Cahier des charges (Appendix n°4).For both lot n°1 (Nice) and lot n°2 (Marseille), digital acquisition must include all paper files in each archive, as well as the ancillary activities listed above. The purpose of this contract is to provide a digitization service for the consular archives of the Consulate General of Italy in Marseille, and includes all the services required for the proper execution of the contract, as specified and listed in the technical specifications (Cahier des charges, Appendix no. 4, and Cahiers de charges métadonnées, Appendix no. 5), to which reference is made herein, including :(i) the activity of digital acquisition of the paper files present in the consular archives by means of the export of the documents, by means of a DVD (or, if the size of the digitized archives does not allow them to be saved on DVD, another removable storage medium), to be carried out exclusively in the Consulate Offices;(ii) the attribution of the metadata of the digitized documents, as indicated in Appendix 5 - specifications (metadata);(iii) the supply and installation of the hardware components required for the future management of the digital archives produced by the digitization of paper-based consular archives;(iv) the training of dedicated staff in the use of the hardware and software that will enable the digital archives to be updated once they are fully operational;(v) the supply of the computer equipment and hardware required for the in situ digitization of consular archives;(vi) the secure erasure activity referred to in article 21 of the Cahier des charges (Appendix n°4).For both lot n°1 (Nice) and lot n°2 (Marseille), digital acquisition must include all paper files in each archive, as well as the ancillary activities listed above.
